Three follow-ups, three clocks
A follow-up to silence, a check-back after a “not now” and a nudge on a stalled booking are different emails on different clocks. The days below are the same ones our own pitch tracker uses to tell members when a show is due a follow-up. The word counts are this page’s made-up example guest.

The rule the three share: one new reason to write, or none at all. “Just checking in” is the email saying it has nothing to add, so the generator flags it (and “circling back”, “any update” and the rest) and leaves your words alone.
Before the follow-up

How long should I wait to follow up on a podcast pitch?+
About a week. Send one follow-up 7 days after the pitch, as a reply in the same thread. Sooner reads as pressure, because most hosts batch their inbox once or twice a week. If there is still no answer 21 days after the pitch, stop and pitch the next show.
How many times should I follow up with a podcast host?+
Once. The pitch and one follow-up are two touches, and a third reads as chasing. Silence after a follow-up is an answer, and taking it gracefully keeps the door open for a better-timed pitch to the same show later.
What should a podcast pitch follow-up say?+
Three things in under a hundred words: which episode you pitched (one angle, not the whole pitch again), one new and true thing since you wrote, and an easy way for the host to say no. Leave out “just checking in” and “circling back”: they tell the host there is nothing new.
The host said “not right now”. When do I follow up?+
When they said to, not on your own clock. Quote their timing back (“you mentioned the new year would suit you better”), add what has changed since, and offer them an easy no. Checking back early reads as not having listened.
The host said yes and then went quiet. What do I send?+
Wait 5 days after their last message, then offer two specific recording times with your time zone, plus “send me a link if neither works”. Concrete times get a one-word answer. An open “whenever suits you” is how an agreed episode slips for a month.
